(Residents, Tenants and Applicants)

At Towers Realty we understand the importance of personal privacy. We are committed to protecting any and all personal information we collect. Our privacy policy outlines how we ensure the security of any personal information we may collect about you.

What is personal information?
Personal information is any information about an individual. Personal information includes information on an individual’s health, family status, gender, age, income, address, employment, credit or rental history, and other information.

What personal information do we collect?
We collect information from you in two ways. First, we collect personal information on our standard tenant application and through supporting documentation such as letters of employment, bank statements, income tax assessments, etc. Tenants are required to provide employment information as well as other personal information to be used for identification and qualification purposes. We also request emergency contact information in order to ensure the safety of our tenants in the event of an emergency.

Second, we utilize rental references and credit inquiries obtained, with written permission, in assessing your suitability for tenancy. Your signed application provides us written permission to obtain information on you from a third party such as a credit reporting agency or previous landlord to help us in qualifying you for tenancy.

We also collect the same information from a co-signer or guarantor of any lease, including credit and employment information, rental history, and other personal information as required at the discretion of our leasing manager.

Why do we need personal information?
Any personal information collected is required to determine suitability and qualification to enter into a tenancy agreement in accordance with our qualification requirements and provincial law.

Consent
We do not collect or use personal information without written consent. In all cases where a tenancy application is submitted, consent is requested in the application itself. The disclosure of personal information is only done in accordance with the terms of consent in our tenancy agreement or with proof of consent provided by any party requesting the information. We will from time to time disclose your personal information on request to a third party provided they submit written authorization from you to do so or if we are required by law.

How secure is your personal information?
We take all necessary steps to protect your personal information by limiting access to your personal information to only those staff members within Towers Realty Group for whom your personal information is necessary in making a determination regarding your application or ongoing tenancy. Your personal information will be securely stored within our offices and will be disposed of in a secure manor when no longer required.

All Towers staff are required at all times to adhere strictly to the terms of this policy regarding the use and disclosure of your personal information.

Can you access your personal information?
You may request access to a copy of your personal information in writing to our office at any time. We will respond within 30 days, at which time you have the option of contacting whichever agency we obtained the information from to have them make any necessary corrections. It is the responsibility of the individual to ensure that the information we receive is correct and up to date by monitoring their credit and making any necessary challenges to the appropriate agency. Towers Realty Group is not responsible for incorrect information provided them by any third party or reporting agency and reserves the right to refuse tenancy based on any such information.

Can you be denied access to your personal information?
You may be denied access to your personal information if it is within our legal right to do so and we feel we have just cause for making such a determination. All personal information collected becomes the property of Towers Realty Group once received and we are required to keep all information collected on file for a predetermined length of time in accordance with our internal policy and for legal reasons. Original documents, once submitted, will not be returned.

Updating Your Information
Towers Realty requests that any change to your personal information such as income, employment, family size, etc. be reported to us for use in making future determinations regarding your tenancy. Failure to do so may result in longer wait times regarding decisions affecting desired changes to your tenancy with Towers Realty Group.

Changes to this policy
Changes may be made to this policy as required without notice. All changes will be posted on our website once available. Should questions arise as to which version of this policy prevails, the most current policy available from our office will take precedence over any previous versions which may be posted at any time.

Friends and Retail Partners
Towers Realty Group, in its continuing effort to provide its residents with the best possible resident experience, enters in to partnership agreements to bring benefits to all those who choose to rent or live in Towers properties. Towers may, from time to time, at its sole discretion, provide contact information to some of the friends and partners listed on our website, in order that they may offer discounts, promotions, and other benefits directly to our residents. All such release is wholly contingent on our partners agreeing not to disclose resident information to any other third parties under any circumstances. Residents may at their discretion ask our partners to no longer contact them and to remove them from their contact lists should they so desire.
